Rules & Show Guidelines

SUBLET AND COMBINED EXHIBITS

Exhibitors are not allowed to sublet or combine any portion of their exhibit space to another company without written approval from Butler Events.

DISPENSING OF ADVERTISING MATERIALS

No exhibitor will be allowed to distribute literature or merchandise outside their exhibit area.

Exhibitors may only display signs and dispense literature and advertising materials pertaining to their contracted business and service. Butler Events will remove signs, literature, and business cards of businesses or persons not contracted with the Northwest Event Show and may eliminate the offending exhibitor from future shows.

Prizes / raffles / merchandise giveaways must be cleared through Butler Events prior to the show.

OCCUPANCY OF BOOTH SPACE

Your exhibit space must be staffed continuously April 3 & 4, 2024 during show hours from 10:00 a.m. to 4:00 p.m. Only the exhibitor’s goods and services contracted with the show can be exhibited in the booth space. No non-contracted service or business may be represented in your booth space. Any exhibits that are not staffed during show hours will be fined.

EARLY DISMANTLE OF EXHIBIT

Exhibitors who begin to tear down before 4:00 p.m. on April 4, 2024, may be eliminated from future shows. Butler Events will fine any exhibitor $750.00 that moves out or commences to dismantle their exhibit before the closing of the show.

BOOTH PACKAGES

  1. Flex Hall Booths: For booths located on the Flex Hall floor, NWES will provide the Exhibitor’s booth(s) with:
    1. one 8’ tall draped backdrop, two 3’ tall side drapes except in the case of free standing island booths and/or activity areas (i.e. 20’ x 20’ booths), and one single line 7” by 44” identification sign.
    2. 5 amps of electricity
    3. One 8’ draped table per 10’ by 10’, two 8’ draped tables per 10’ by 20’ booth space, or one 8’ draped table per all other sized booths not described above.
  2. Exhibit Hall Booths: For booths located on the Exhibit Hall floor, NWES will provide the Exhibitor’s booth(s) with:
    1. one 8’ tall draped backdrop, two 3’ tall side drapes except in the case of free standing island booths and/or activity areas (i.e. 20’ x 20’ booths), and one single line 7” by 44” identification sign.
    2. One 8’ draped table per 10’ by 10’, two 8’ draped tables per 10’ by 20’ booth space, or one 8’ draped table per all other sized booths not described above.

AISLE RESTRICTIONS

No Exhibitor may obstruct the aisles, encroach on neighboring booths, or operate their exhibit in any manner which causes interference, annoyance or endangerment to other exhibitors or attendees. This restriction applies, but is not limited, to volume of P.A. systems, persons, musical instruments or any other device creating noise levels objectionable to other Exhibitors, Butler Events or the NWES attendees. Exhibitors, their agents and employees may only conduct business within their assigned exhibit space.

HEIGHT RESTRICTIONS

Exhibits may not exceed 8’ in height. If your display will exceed 8’ in height or you will be covering your booth with a tent or fabric, you must request a variance from Butler Events. If any part of your booth is approved to exceed the 8’ height limit and can be seen from the adjacent aisle-way, you will be responsible for back draping with black drapery from the show decorator at your expense.

SIDEWALLS

Exhibitors are entitled to a reasonable sight line from the aisle regardless of the size of the exhibit space. Exhibitors may only block with displays half of their sidewall from back to front. No part of your sidewall may exceed 8’ in height. Any portion of sidewalls and/or displays which faces neighboring booths must also be aesthetically pleasing No portion of your exhibit or any products can protrude into or encroach on the aisles.

SIGNS

The Maximum height for any sign will be 8’ from the floor unless otherwise approved by Butler Events.

SOUND

Exhibitors are asked to monitor their own booths to be sure the noise levels from video and disc jockey sound systems are kept to a minimum and do not interfere with others. Butler Events reserves the right to determine at what point the sound interferes with others and must be reduced or discontinued.

TAPE

The use of single sided or double stick foam tape, cellophane tape or masking tape is prohibited on any surface of the Seattle Convention Center.

DEFACEMENT OF SEATTLE CONVENTION CENTER

Decorations may not be affixed to any surface in the Seattle Convention Center. No holes may be drilled, cored or punched into the building. Samples may not include stick-on decals or lighter-than-air/ helium balloons.

ATTENDEE COMPLAINTS

Butler Events is not a mediator for attendee complaints and will not get involved with them. Exhibitors that have complaints made against them by attendees will be contacted after the show. Do not behave aggressively in the process of attracting attendee attention.

GARBAGE

It is your responsibility to remove your own garbage before, during and after the show. Please do not leave garbage in the aisles before or after the show.

IN-BOOTH STORAGE

You may not store materials behind backdrops or drapes. All materials (such as flyers & brochures) must be stored under your table.

NO CHILDREN DURING MOVE-IN OR MOVE-OUT

No children under the age of 16 will be allowed on the loading dock, hand-carried freight or in the exhibit areas during move-in and move-out hours.

SECURITY

Seattle Convention Center and Show Management are not responsible for theft or breakage that could occur in your booth. We advise exhibitors to take the following safety precautions:

  • Do not leave your booth unattended. This includes arriving in plenty of time before the show opens and not leaving the show until the show has closed.
  • Do not leave valuables (i.e. handbags, cameras, laptops, iPads, cell phones and personal items) unattended in the booth.
